Formatting a KDP Paperback
Turn an edited manuscript into a readable, manufacturable print interior and a proof you can approve with confidence.

The proof copy arrives, and the book is wrong. Not the words. The object.
Text crowds the binding until every line curves into the spine. A diagram that was crisp on screen prints as faint gray fog. The cover, sized from an old draft, wraps a spine that no longer exists, so the title sits visibly off center. None of these are writing failures. They are production failures, and each one traces back to a decision made in the wrong order, or never made at all.
A paperback is not a document printed smaller. It is a physical product with edges, folds, ink, and paper, and formatting one is a production system: specification first, then geometry, then typography, then output, then proof. This guide is that system, in the order that prevents the expensive surprises.
Why paperback formatting is a production system
An ebook and a paperback may contain the same words, but they are different products. An ebook reflows; a paperback fixes every line to one page, and its final page count changes spine width, cover dimensions, and printing cost. Formatting must solve four connected problems at once.
Reading
Type, line length, spacing, hierarchy, and page rhythm must support the way the book is used. Reference needs scanning; narrative needs uninterrupted reading; a workbook needs writable space.
Manufacturing
Text must stay away from trim and binding. Bleeding graphics must extend past the cut. Fonts and images must reproduce reliably, and pages must arrive as one correctly sized sequence.
Economics
Trim, page count, ink, paper, and marketplace affect printing cost. A choice that looks minor in the layout can change the cost of every copy.
Handoff
Interior and cover are separate files but mechanically connected. The final interior determines page count; page count, paper, ink, and trim determine the cover template and spine.
The work therefore has a lock order: final edited content, then the print specification, then page geometry, then the style system, then the complete layout, then the final page count, then the cover, then digital preflight, then the physical proof, then release. Changing an early decision creates downstream work; if trim changes after the cover is built, the text reflows, the page count changes, and the spine becomes wrong. The governing principle: lock the object first. Style the pages second. Design the spine last.
The Paperback Specification Sheet
Do not begin with a font menu. Begin with a one-page production contract. The Specification Sheet prevents contradictory settings between the manuscript, the KDP setup, the cover brief, and anyone helping with the layout.
Title, subtitle, author and contributor names, language and reading direction, edition, and the ISBN source.
Trim size, interior ink, paper, interior bleed, cover finish, and the estimated page band.
Primary use, body typeface and its license, body size and leading, the paragraph system, chapter-start and running-head rules, and the final page count with a named proof owner.
Choose trim, ink, paper, and finish
Trim is the final width and height after manufacturing. It affects line length, page count, spine width, portability, image scale, and print cost. No trim is universally standard; KDP identifies 6 by 9 inches as the most common US size, but a smaller or larger format may suit the book better.
Test a shortlist against five factors: reading measure, estimated page count, content geometry, market fit, and unit economics, remembering that sizes above 6.12 by 9 inches count as large trim for cost. Then build a two-trim sample: format the same 8 to 12 representative pages, a normal text page, a chapter opener, the longest heading, a list, the widest table, the most detailed image, and a references page, in two trims, print both at 100 percent, and read two continuous pages. The better trim handles the real content, not the one that looks attractive while empty.
White gives stronger contrast and suits diagrams, screenshots, worksheets, and technical material. Cream is a warmer surface often chosen for long narrative reading. Groundwood is lighter weight, with its own cost, page-count, and appearance considerations.
Use color only when it carries enough reader value to justify the higher print cost. Ask whether meaning depends on color or works in grayscale, and whether a proof has confirmed acceptable color. If one chart is blue and the rest is black text, redesigning that chart for grayscale may be the better decision.
Mainly a positioning and handling decision. Matte often feels restrained and reduces glare; glossy can intensify color and suit image-led designs. Neither is universally more professional. Evaluate the art, the category, fingerprinting, glare, and the physical proof.
Decide whether the interior needs bleed
Bleed means a printed image, color, or graphic extends beyond the trim line so no unintended white edge appears after cutting. The decision is binary and file-wide: if even one interior page needs edge-to-edge printing, build and upload the whole interior as a bleed PDF.
All text and graphics sit comfortably inside the page, illustrations have intentional white borders, the book is primarily prose, and no background color reaches an edge.
A photo must reach the top, bottom, or outside edge, a colored background fills a page, a graphic intentionally runs off an edge, or a full-page illustration has no white border.
PDF width = trim width + 0.125 inch. PDF height = trim height + 0.25 inch.
Artwork extends 0.125 inch beyond the top, bottom, and outside trim edges; the extra width sits on the outside, never the binding edge. A 6 by 9 book therefore becomes a 6.125 by 9.25 PDF. Do not add crop, trim, or registration marks. KDP's system handles trimming.
Bleed is not the safe area. It tells artwork how far to extend beyond the cut; it does not give text permission to approach the edge. Interior bleed is optional, but every paperback cover bleeds, and the cover needs the final interior page count to generate the correct template.
Set page size, mirrored margins, and gutter
Printed books have facing pages. The margin beside the binding is the inside margin; the opposite edge is the outside margin. Use your application's mirrored or facing-page settings rather than simulating them by hand, and treat KDP's minimums as production floors, not design recommendations. Outside, top, and bottom content needs at least 0.25 inch of clearance without bleed and 0.375 inch with it; the inside minimum rises with page count.
One trap: in KDP's Word workflow, the binding allowance is entered as the mirrored inside margin while the separate gutter field stays at zero. Entering both without understanding the software double-counts the allowance; what matters is the final PDF. Then run the loop: choose trim, estimate the page band from a sample, set margins for that band with a comfort buffer, flow the full manuscript, and recheck the count. If the book crossed into a higher band, increase the inside margin and reflow. Never shrink the gutter simply to remove pages; the bound book must open without swallowing text.
Build the print style system
Styles keep hundreds of pages consistent and make global corrections possible. Every element gets one: book title, part title, chapter title, section headings, first paragraph, body, block quotation, lists, captions, and the running head and folio. KDP requires text of at least 7 points, but minimum compliance is not a comfortable body target. A body setting around 9.5 to 11.5 points is common; the correct setting is the one the typeface, trim, and audience support, chosen at actual print size. Print at 100 percent, read a full page under ordinary light, check thin strokes, italics, and accents, and confirm the license allows commercial print and PDF embedding.
Set leading for an easy return path, not page inflation. Do not double-space the book to make it appear longer; excessive leading raises cost, weakens page color, and asks readers to pay for blank space. If the manuscript feels too short, improve substance, positioning, or price, not whitespace. Control line length through the whole system, choose one paragraph architecture, tune justification and hyphenation with care, and set headings to stay with the first lines that follow them. Ragged-right composition is also valid, especially for instructional or accessible designs. Judge the printed result.
Structure, pagination, and running furniture
The paperback interior is one ordered file containing all printed pages, and print navigation depends on consistent page logic: for a left-to-right book, odd-numbered pages are right-hand pages, even-numbered pages are left-hand, and KDP requires sequential pagination wherever page numbers are shown. Do not insert ornamental pages merely to enlarge the spine.
Half-title, series or praise page, title page, copyright, dedication or epigraph, table of contents, then foreword, preface, or introduction.
In print the contents page uses final page numbers. Generate it from heading styles, update it after pagination locks, and confirm names match, numbers point to chapter openings, dot leaders align, and long titles wrap cleanly.
Conclusion, appendices, notes, bibliography, glossary, acknowledgments, resources, index, about the author. Generate indexes only after pagination is final, and maintain a content manifest to compare the PDF against.
Every chapter begins on the next available page. This reduces intentional blanks and page count, and suits most practical nonfiction.
Major chapters begin on a right-hand odd page, inserting a blank left page when needed. Spacious but not automatically superior; use it intentionally.
Use section controls for counted-but-unnumbered pages, never manual deletion, which can break headers or later sections. KDP limits long runs of blanks: no more than four consecutive blank pages at the beginning or middle and no more than ten at the end. Suppress running heads and folios on title, copyright, blank, part-opener, and clean chapter-opener pages. Update the TOC, index, and cross-references last, then export a fresh PDF and verify the update created no new page-flow problems.
Format images, tables, and charts for print
Print exposes weaknesses that a bright, zoomable screen hides, and resolution must be evaluated at the size the image occupies in the book, not in the file's metadata.
Required pixels = printed inches x 300
An image printed 4 inches wide needs at least 1,200 pixels. Enlarging a 600-pixel image to 4 inches gives only 150 DPI, and typing 300 into metadata does not create missing detail. KDP requires at least 300 DPI and cites 600 as a practical maximum.
In a black-ink book, two colors of similar brightness collapse into one gray, so soft-proof for grayscale, replace color-only legends with patterns or direct labels, and use at least a 10 percent gray fill for gray backgrounds. Keep line art at 0.75 point or heavier; thin lines that look elegant on screen break or disappear in print. Repair wide tables structurally, by removing columns, shortening labels, splitting, or converting to repeated records, before shrinking type, and make callouts part of the page grid rather than floating boxes that shift during export.
Prepare the print-ready PDF
KDP accepts several file types for a no-bleed interior but recommends PDF, and requires PDF for bleed. Treat the export accordingly: the PDF is not a convenient copy of the manuscript. It is the manufacturing instruction.
- One file, all pages, exported as single pages, not spreads.
- One consistent page size, correct for no bleed or bleed.
- Fonts fully embedded, images at sufficient effective resolution.
- Transparency and layers flattened where required.
- No encryption, password, or editing lock.
- No crop, trim, or registration marks, comments, or watermarks.
- A clean filename, within the current 650 MB limit.
Font embedding is non-negotiable. If a font is not embedded, the print system may substitute another, changing line breaks, page breaks, special characters, and the entire page count. Inspect the exported PDF's font properties outside the source application and confirm every face and style is embedded. Name the file so mistakes are difficult, in the pattern BookTitle_Paperback_6x9_BW_NoBleed_Interior_v07_220pp.pdf, and freeze the interior before the cover: record the final page count, confirm ink, paper, trim, and reading direction, then generate a fresh cover template. KDP rounds the page count up to an even number when necessary.
A worked paperback layout
A 42,000-word nonfiction guide: 10 chapters, 18 simple diagrams, 7 decision tables, exercises in every chapter, no full-page photos.
Two trims are tested. The 5.5 by 8.5 option feels portable but crowds the tables and raises the page band. The publisher selects 6 by 9 inches, black ink on white paper for diagram contrast, no interior bleed because every graphic has a border, a matte cover, and next-page chapter starts.
The manuscript flows to 214 pages, inside the 151 to 300 band with its 0.5 inch minimum. After printed testing the designer chooses larger margins: inside 0.7, outside 0.55, top 0.65, bottom 0.75 inch. Design decisions for this book, not universal settings.
Two commercially licensed, embeddable serif faces are tested at actual size. The selected body runs 10.5-point type on 14-point leading, first-line indents, no indent after headings, tuned justification, and ragged-right lists. A restrained sans serif labels exercises and figures.
Two seven-column tables are redesigned as repeated decision cards. Diagrams are exported at 300 DPI or better at placed size, lines run at least 0.75 point, and color-only differences become patterns and direct labels.
After widow, orphan, heading, and image checks, the interior reaches 220 pages. The TOC updates, running furniture comes off openers and blanks, and the final PDF exports with fonts embedded. Only now is the cover template generated, for 220 pages, not the 214-page draft.
Print Previewer shows no blocking errors. The physical proof still reveals a too-faint gray diagram and low outside folios. The source is corrected, a new PDF exported, the affected pages rechecked, and a second proof approved. The proof caught two flaws no screen could show.

13 to 16 means READY for release review; confirm the cover uses this final page count. 9 to 12 means REPAIR before cover lock or publication. 0 to 8 means REBUILD from the specification and page grid. A critical defect overrides the score: wrong trim, insufficient bleed, missing content, unembedded fonts, unsafe margins, incorrect pagination, or a cover built for another page count blocks release on its own.

Print Previewer, then a physical proof
Previewer is a gate, not a designer. A file with no automated error can still have weak typography, wrong content, or unreadable figures. Work through five passes.
Match KDP's setup against the Specification Sheet: binding, ink and paper, trim, bleed, cover finish, reading direction, ISBN, and expected page count. A correct PDF uploaded under the wrong setting becomes an incorrect product.
For each warning, open the page, find whether the problem is interior, cover, or setting, repair it in the source rather than patching the PDF, export again, and retest. Do not assume automatic scaling preserves the design.
Review as facing pages where the tool permits. Check first-page orientation, odd-right and even-left sequence, front-matter order, chapter-start rule, intentional blanks, running-head alternation, folio position, and the final page.
Look for clipped or crowded text, stranded headings, unexpected blanks, short last lines, inconsistent indents, images outside safe areas, captions split from images, tables crossing trim or gutter, missing symbols, and duplicate or missing content.
Confirm the cover beside the interior was generated for this exact page count, trim, ink and paper, and reading direction. If the interior changes by even a few pages, regenerate or verify the cover template.
Then order the object. A monitor cannot reproduce paper color, ink gain, binding resistance, trim variation, cover finish, or the way a gutter feels in the hand. KDP allows proof copies while the book is in Draft, up to five at a time, marked Not for Resale. Inspect the exterior, spine centering, text clearance, and bleed edges; open the book at the front, middle, and back and check whether text disappears into the gutter; read several complete pages for size, spacing, contrast, and hierarchy; and verify the TOC, chapter boundaries, and every asset against the manifest. Order another proof whenever a correction affects trim, margins, pagination, page count, cover size, color, image quality, or any repeated style. A small text correction can still reflow later pages; never assume it is isolated until the new PDF is compared.
Common paperback formatting failures
Choosing a trim because it was called standard
Test at least two appropriate sizes using representative pages and current KDP cost data before committing.
Changing trim after detailed layout
Lock trim early. If it must change, treat the interior and cover as a new production cycle.
Using the same margin on all four sides
Use mirrored margins, with an inside margin that meets the requirement for the final page count.
Confusing bleed with margin
Bleed extends artwork 0.125 inch beyond the cut. It never gives text permission to leave the safe area.
Padding the page count with double spacing
Choose leading from printed reading tests. If the product lacks substance, improve the content, not the whitespace.
Trusting imported formatting
Review the whole imported manuscript and rebuild fragile chapters or elements in the production tool.
Sending the cover designer a draft page count
Lock the final interior first, then generate the cover template from the final specification.
Approving only on screen
Order and inspect a physical proof before release. The proof is the acceptance test for the manufactured book.
The 120-minute paperback preflight
Run this after the final interior PDF is exported and before the cover is locked. If a defect changes pagination, repeat every downstream check.
Confirm trim, ink, paper, bleed, and reading direction. Confirm the PDF filename, version, and page count, and that the cover is not based on an earlier count.
Verify PDF page dimensions and single pages. Inspect inside, outside, top, and bottom safety and every bleed page. Check odd-right and even-left order and chapter starts.
Review every chapter opener and any heading near a page bottom. Inspect spacing, indents, widows, orphans, and justified lines. Check lists, block quotes, captions, running heads, and folios.
Compare images and tables with the manifest. Confirm effective resolution, grayscale contrast, and line weights, and that no table enters the gutter or trim area.
Confirm every font and style is embedded and special characters render. Confirm no crop marks, comments, placeholders, or watermarks. Check file size, name, and the first and last pages.
Update and sample-check the TOC and index. Verify the first and last lines of each chapter. Search for XX, TK, and TODO, and confirm no chapter or asset is missing.
Record defects and owners, repair blockers in the source, regenerate and rerun affected checks, freeze the final page count, and generate the fresh cover template.
The release gate
The full upload checklist covers six domains: product specification, page geometry, typography and layout, content architecture, pagination, media, PDF integrity, and the cover handoff. It compresses into five statements. Publish only when all five are true.

The preflight takes two hours. The proof loop takes days, and a second proof doubles it. That is the honest cost of manufacturing a physical object, and none of it is refundable if the idea underneath was never worth printing. The most expensive formatting mistake is not a swallowed gutter. It is a beautiful object nobody was searching for.

Frequently asked questions
- What is the best trim size for a KDP paperback?
- There is no universal best trim. KDP identifies 6 by 9 inches as the most common US size, but the right choice depends on category, word count, line length, tables and images, portability, page count, and printing cost. Test representative pages in at least two suitable sizes before deciding.
- What margins should I use for a KDP paperback?
- KDP minimum inside margins rise with page count: currently 0.375 inch for 24 to 150 pages, 0.5 for 151 to 300, 0.625 for 301 to 500, 0.75 for 501 to 700, and 0.875 for 701 to 828. Outside margins need at least 0.25 inch without bleed and 0.375 inch with it. These are minimums; use printed tests to choose more comfortable design margins.
- Does my paperback interior need bleed?
- Only if an image, background, or graphic must reach a page edge. If all content stays inside white margins, choose no bleed. If any interior page bleeds, prepare the whole interior as a correctly sized bleed PDF and select bleed in KDP.
- Should paperback text be justified?
- It can be, but only with good hyphenation and line-spacing control. Poor justification creates rivers and stretched word spaces. Ragged-right composition is also valid. Print representative pages and choose the treatment that reads best for the book.
- Can I upload a Word file instead of a PDF?
- For a no-bleed interior, KDP currently accepts several formats and converts them to PDF, but recommends PDF for best results, and PDF is required for bleed interiors. A properly preflighted PDF gives more control over fonts, breaks, page size, and image placement.
- What resolution should paperback images be?
- At least 300 DPI at their final printed size. Multiply the intended width and height in inches by 300 to find the minimum pixel dimensions. Do not rely on a file's DPI label if the image has been enlarged in the layout.
- Can I use the same file for Kindle and paperback?
- Do not use one finished file for both. The editable manuscript can be a shared content source, but the outputs require different formatting. A Kindle ebook should reflow and omit print furniture; a paperback needs fixed pages, mirrored margins, folios, and a press-ready PDF.
- Do I really need a physical proof copy?
- Yes, if you want to evaluate the product readers will receive. Print Previewer is necessary, but it cannot reproduce paper, ink, binding, trim variation, gutter comfort, or cover finish. KDP allows up to five proof copies at a time while the book is in Draft, marked Not for Resale.
